Key Tasks and Responsibilities:
1) Responsible for daily purchase in the office: to purchase snacks weekly; check the stationeries periodically and replenish the stock in time; make temporary purchase according to the requirements of other departments.
2) Office maintenance: supervise the cleanser do the cleaning and check around the office from time to time to keep the office clean and tidy; check the lights and other appliances periodically and fixed the damaged ones in time.
3) Equipment management: register for the new equipment; manage the equipment application and distribution; update the equipment record; check the equipment in stock monthly to check if there is any inconsistence with the record.
4) Make booking according to office requirement: hotel booking for customers; hotel/ fright/train booking for colleague on business.
5) Trade show information collecting and registration.
6) Vendor Scorecard data collecting and input in Access, report output and presentation making monthly/quarterly/yearly.
7) Paper work and translation: draft SOPs and forms; revise SOPs and forms when necessary; translation for various documents.
8) Law issues: contact with law firms; follow up lawsuits; documents review (Company agreements / HR documents/etc.) to avoid problems; file related documents for later tracking.
9) Company activities arrangement (Outing/CNY party/Weekly Badminton/Donation/etc.)
10) SA8000 and ISO 9000 system maintenance: make sure that all documents follow the procedures and meet the requirements of these two systems; prepare the documents for audits (Two audits a year for SA8000 system/ one audit a year for ISO system); management of ISO System on the public disk
Responsibilities in HR:
1) Recruitment: on-line recruitment website management; CVs screening and recommend candidates when there is a recruitment need; make interview arrangements with candidates and interviewers; host the first interview for the candidates.
2) New employee enrollment: make background research before an offer is made; forms (Staff information form/ confidentiality agreement /Business code/Employment Contract) for new employees to sign.
3) Training: data collecting for training plan/ implementation and follow up the training plan (Agreement and record); training results confirmation and make reimbursement suggestion; training database establishment.
4) Assist in the implementation of SMART Goal, Assessment and Appraisal (Data collecting/Scanning)
5) All admin&HR documents filing
6) Other templated work assigned by office manager.
Skills and Qualifications:
1) College Degree or above in relevant areas, e.g. Human Resource, English, Law.
2) At least 3 years related working experience
3) Proficient in using Excel/Word/PowerPoint/Photoshop
4) Good spoken/written English/ Cet-4 or above
5) Capable of handling multi tasks and good attitude towards work.
6) Detail oriented, Positive & Self-motivated, Good communication skills.
